Reservations and Payments It’s easy to book your vacation rental. You can browse our website at www.TxBeachHouse.com at any time of the day, on any day of the week, for photographs, and maps, and then just book your reservation online. You can also reserve a property by calling our toll-free line at 1-888-531-2473. Or, we’ll be happy to make you reservation in person. Just visit our surfside beach office at 140 Bluewater Hwy, Surfside Beach, TX 77541. Office Hours: (Central Time) Open 7 Days: 9am - 5pm (During High Season) After you decide on your house and dates, we will mail, email, fax, or you may download online a Rental Contract. Your reservation is not confirmed until we receive these signed documents and your Confirmation Payment. Confirmation Payment Policies: It is our policy to collect 50% of the total rental rate including sales tax and additional fees, including linen fees, security and pet deposits. Please note: If your paperwork and Confirmation Payment are not received within (7) days of booking, your reservation is automatically cancelled in accordance with our Cancellation Policy. The fee for returned checks is $30.00. Credit Card PayPal and Cash: Payment by Cash, Credit Card or online via PayPal will confirm your booking immediately. You will still need to mail, email or fax your Rental Contracts to our office within (7) days to finalize your booking. Checks and Money Orders: To confirm your reservation via Check, we will need to hold a credit or debit/credit card number to hold the reservation while the Check and Rental Contracts are mailed. We allow (7) days to receive your Confirmation Payment and Contracts, during which time your credit/debit card will not be charged. If we do not receive your Check and Contracts within (7) days of booking, the 50% Confirmation Payment will be charged to your card. Final Payment Policies: All Payments must be paid in full prior to release of keys to any guests. If payment is not made in full prior to close of business the day of check-in (and no prior arrangements have been made) the property may be re-rented, and no refund will be given. Any late check-ins must pay entire balance 48 hours prior to check-in. Credit Card PayPal and Cash: We recommend you make your final payments (14) days prior to check-in to avoid any errors and inconvenience due to declined cards or banking errors. If paying final payment in Cash, please notify us in advance. Checks and Money Orders: Final Payment by Check or Money Order must be received in our office (30) days prior to check-in. Security Deposit: A Minimum $300.00 Cash OR $300.00 Authorization on a Valid Credit Card the day of check in. The Cash SECURITY DEPOSIT will be released to TENANT within thirty (30) days after occupancy. The Credit Card Authorization will expire within 5-7 days, based on your bank’s policies. Release of the SECURITY DEPOSIT or Expiration of the Credit Card Authorization is subject to the following conditions: (1) TENANT has not violated any rules set forth in this AGREEMENT regarding use of the PREMISES; (2) TENANT has fully complied with RENT obligations and occupied the PREMISES for the agreed TERM; (3) TENANT has not damaged the PREMISES or its furnishings and has returned the PREMISES in the same condition without need for excessive cleaning; and (4) All keys have been returned to LANDLORD’s agent. In addition, LANDLORD may offset against the DEPOSIT the cost of any additional charges to the telephone bill, cable bill or for excessive use of utilities and for payment of any tickets, fines, or violations of any state or local laws or ordinances which Beach House Associates incurs. LANDLORD reserves the right to re-charge the credit card the $300.00 SECURITY DEPOSIT if the Authorization has expired prior to or after the TENANT has vacated the premises. Forfeiture or offset of the DEPOSIT shall not limit LANDLORD’s other remedies. Cancellations, Refunds, and Substitutions Once your reservation is confirmed any cancellations, changes of dates, or switching of properties will invoke the Cancellation Policy. However, we understand that there can be unforeseen emergencies that could cause you to cancel your reservation. We will try to work with you to resolve the situation, however, please note our Cancellation Policy: Cancellations may only be made within 48 hours of booking. A full refund will be issued, minus the Cancellation Fee ($75.00). Any Cancellations past the 48 hour grace period will not be offered a refund. If emergencies arise 30 or more days before date of arrival you may be allowed to reschedule for a rescheduling fee of ($50.00). Credit Card Refunds will be processed within 15 days of cancellation Cash, Check and Money Order refunds will be issued a Refund Check within 30 days of cancellation. Refunds are not given for rainy, overcast skies, or early departures. Power, cable, and telephone outages occur occasionally on Surfside Beach; they are out of our control. We will report the outages; however, no refunds will be given due these outages. There is no refund for appliances, plumbing, or mechanical failure; utility failure; or circumstances beyond our control. New construction is a part of life on surfside beach. If your property is near construction, we will do our best to talk with the contractors, but please realize that this situation is beyond our control. Sorry, no refunds or moves will be made under these circumstances. If circumstances require, Beach House Associates reserves the right to substitute a comparable beach property. If comparable accommodations are not available, then guests may choose from available properties at the published rate or request refund. Once you have entered into a contract to rent a property, you are bonding yourself to that property for that time. There should be no expectation of compensation or relocation because you don’t like the property or because something in the property isn’t working to your satisfaction. The Beach House Associates reserves the right to cancel a confirmed reservation (with good reason) at any time prior to the Guest’s taking occupancy of the property. In the event this should occur, Beach House Associates will refund all monies on account. Hurricane Policy, Mandatory Evacuations, and Travel Insurance No refunds will be given unless: A. The National Weather Service orders mandatory evacuations in a "Tropical Storm/Hurricane Warning" area and/or B. A "mandatory evacuation order has been given for the Tropical Storm/Hurricane Warning" area of residence of a vacationing guest. The day that the National Weather Service orders a mandatory evacuation order in a "Tropical Storm/Hurricane Warning," area, we will refund: -
- Any unused portion of rent from a guest currently registered,
- Any unused portion of rent from a guest that is scheduled to arrive, and wants to shorten their stay, to come in after the Hurricane Warning is lifted; and
- Any advance rents collected or deposited for a reservation that is scheduled to arrive during the "Hurricane Warning" period.
Reservation Made Fewer Than 30 Days Before Arrival If your reservation is made fewer than 30 days before check-in, it must be paid in full- either by using a Credit Card or Cash in person, at our office. Checks are not accepted for reservations made fewer than 30 days before arrival. Check-In & Check –Out Policies Arrivals Peak season check in time for all guests is at 4:00 pm. There’s plenty to do while you wait- enjoy our beaches and local restaurants. Sometimes, it may be necessary to delay check in beyond 4:00 pm, but that is extremely rare. Under no circumstances should you go directly to or enter you vacation property before check in. During Peak Season and holidays, our office hours are extended to 6:00pm on check in days. Please arrive by then. If you are running late please contact our office so other arrangements can be made. Departures Check-out time is 11:00a.m. Drop the keys at our office and let us know how much fun you had during your stay! Let check-out will be charged $100.00 late check-out fee. During the Low Season and mid season, check-out days and departure times may be more flexible, based upon availability. Check with our office during check-in to see if late check-out is possible. And don’t forget to make your reservation for next year! Properties are available for advance reservations to departing guest first; advance reservations may be made up to one year in advance. Check-in Days Check-in days are either Friday or Monday. During Peak Season, we book by the week, either Monday to Monday or Friday to Friday. Beginning June 15, 2010, we will begin allowing weekend rentals for properties that still have availability. Occupancy Policy One person in your party must be designated to be responsible or payments, property maintenance, and all responsibilities spelled out herein and in the rental contract; this person’s primary residence address and e-mail address will be used for all notices and correspondence. We will also need 2 (Cell Phone) contact numbers for guests staying at the property. Behavior Beach House Associates reserves the right to terminate a lease as the result of abuse by guests of staff, property, neighbors, or others. Surfside Beach has a noise ordinance so please be aware. Also, respect your neighbors, this is a place for visitors but there are also many local residences here so please keep noise levels to a minimum after 10pm. Property Damages Guests will be responsible for any and all damages or loss to the vacation property and its contents. If damage occurs during your stay, be sure to call office right away so that we can take care of it for you. Non-compliance with the rental contract, these rental policies, occupancy rules, pet restrictions- as well as any illegal activity or conduct creating a nuisance, waste, hazard, or disturbance are each grounds for immediate eviction without refund. Parking Adequate parking is available on each property. Please be respectful and do not park on the grass, your neighbor’s property, or the city right of way. Parking on the beach is always an option so please use the public beach for all overflow parking. If you have any questions, please contact one of our associates for additional parking information. Choosing Your Vacation Rental Our rental properties vary in size, décor, and amenities and pictures are on our website. For rentals of seven nights or more, we’ll be happy to show you up to three properties as long as they’re not occupied and a Rental Agent is available to accompany you. Appointments are required. Please Note: Prospective Guests will not be given keys to view the properties alone. House Locations Locations of our properties vary. Our Rental Agents can answer specific questions regarding views or beach access. Beach front: There is nothing between the property and the Gulf, except a dune, a dune crossover. Linens All beds are furnished with pillows comforters and mattress pads. Linens are included for all actual beds in the rental house. Some houses also have Futons or Sleeper Sofas, linens are not provided for those. For an additional $10 per set which include flat and fitted sheet and pillow cases we can provide linens for Futons or Sleeper Sofas. We currently provide a minimum of 4 towels and 2 wash cloths per bathroom. Additional towels may be available by request. We recommend you bring additional towels to accommodate all of your guests. No Beach Towels are provided. If you need additional linens please specify the number of sets you require when booking your reservation. Pets Several properties are pet-friendly and allow up to two small dogs so be sure to ask about these properties when you speak with the Rental Agent. There is non-refundable pet fee of $150 for 1 pet or $200 for 2 small pets. What to Bring Here in Surfside we run on well water, the water is safe for bathing but we strongly recommend you bring bottled water for you cooking and drinking needs. Paper and Kitchen products: Toilet paper, paper towels, coffee filters, plastic wrap, aluminum foil, trash bags. Cleaning supplies: Dishwasher soap, dishwashing liquid Non-perishable food items: Condiments, sugar, etc. Beach supplies: Coolers, hats, beach umbrella, beach chairs, beach towels, sun block Charcoal and lighter fluid for grills Personal supplies: Bath soap, shampoo, etc. And, of course, the kids Maintenance and Emergencies We have a terrific maintenance staff available seven days a week, we will try to take care of everything from routine maintenance to plumbing problems immediately so please notify us if you have any problems Telephones, Faxes, Internet Access, and Mail Telephone, fax and internet access is available for our guests at our office at 140 Bluewater Highway Suite 1. Any necessary Mail, UPS or Fed-Ex packages may also be sent to this address. Please notify our office in advance so we can contact you when you packages arrive. House and Amenities All of our properties feature standard household items. These include a cable or satellite TV, central air/heat, microwave, coffee maker, toaster, pots and pans, dishes, utensils, glassware, and a charcoal BBQ grill. Unique and specific equipment and/or amenities for each property are listed in the individual property descriptions located in the brochure and on our website. All equipment in each property should be in working order when you check in. Please report any inoperative equipment or problems to the office immediately. You can expect a courteous and professional attitude to problem solving, and will make every reasonable effort to resolve the problem promptly. Please understand that emergencies take precedence. However, under no circumstances will there be a reduction of rent or any mechanical failure or air conditioners, dishwashers, refrigerators, washers, dryers, cable or satellite TV, internet access, televisions, VCRs, DVD players, hot tubs, swimming pools, or any other appliances or amenities. A charcoal grill is provided at each property. Golf carts, bicycles, beach chairs, boogie boards and surf boards are available for rent through local vendors. We’ll be happy to reserve them for you just call. Quantities are limited and go quickly during peak season so please reserve these early. Note: Every effort has been made to ensure to accuracy of the property information in our brochure and on our website; however, it is not guaranteed. It is subject to errors, omissions, change or price, change or property contents and/or features, or withdrawal without notice. .Advance Reservation For 2010 reservations, please call the Beach House Associates office at 979-239-1073. Properties are available for advance reservations to departing Guests first; advance reservations may be made up to one year in advance. Lost and Found Beach House Associates is not responsible for items left behind in properties. We will attempt to locate lost items, but we can’t guarantee that we will find them. Please check your property carefully before leaving. There is a $25 fee to search for and/or retrieve lost items, plus shipping costs. These amounts will be either charged to your credit card or paid by money order. Retrieved items are kept at the office for 30 days after which time the items are donated to charity. Check Out Policies Clean Up 1. Make Sure All Trash Is Taken Out & Put In Green Trash Cans Or Dumpsters Provided. 2. Make Sure All Dishes Are Washed, Put Away & Nothing Is Left In The Dishwasher. 3. Make Sure the Grounds Around Your Rental Are Picked Up & Free Of Trash, Bottles, Cans & Cigarette butts. 4. Make Sure All Trash Is Picked Up Inside Your Rental. 5. If You Ordered Linens, Make Sure You Remove The Sheets & Place Them In Your Linen Bag. Comforters & Bedspreads Will Remain On The Bed. 6. Make Sure You Check-Out On Time (11:00am) & Return Your Key To The Office. If You Check Out Early You May Leave Your Key In The Mail Slot At The Office. 7. Make Sure You Check The House For All Personal Belongings. Beach House Associates is not responsible for items left behind in properties. We will attempt to locate lost items, but we can’t guarantee that we will find them. Please check your property carefully before leaving. 8. Please Do Not Move Furniture. Penalties 1. If The Check-Out Cleaning Policies Are Not Followed, You Will Be Charged A $75 Cleaning Fee. 2. If Furniture Has Been Moved You Will Be Charged A $50 Service Fee. 3. If You Do Not Check Out On Time, You Will Be Charged A $100 Late Check-Out Fee. 4. There Is A $25 Fee To Search For And/Or Retrieve Lost Items, Plus Shipping Costs. These Amounts Will Be Either Charged To Your Credit Card or Paid By Money Order.
